What personal data we collect and why we collect it

You can visit this Website without telling us who you are and without providing any personal data. Please note, however, that if you do not provide the minimum necessary data requested in some parts of the Website then In 2 Solid Surfaces Ltd may not be able to sell you products and/or provide you with certain services and information.

We collect personal identifiable information through our contact, quote request and sample request forms.

Information Why
Name So we can identify your quotation/ recognise you if you call.
Address So we can send out samples if requested
Email address So we can send you a quotation or contact you regarding your quote. We will never give your email to a 3rd party or sell your data.
Telephone number So we call you with any questions regarding your quote. We will never give your phone number to a 3rd party or sell your data. We will also use this phone number to book in a template with you or schedule a fitting date with you.

We also ask you to supply a drawing/ plan for your work so we can price effectively. All samples are sent by post to you directly from our suppliers. If you would prefer, you can look at the samples in our show room.

We also need to collect personal details over the telephone/ email if you send us a request in order to effectively price the work you would like carried out and to contact you regarding the quotation.

 

The retention periods for the personal data       

We have to keep customer data in relation to warranties offered by supplier. These are as follows:

Hi-Macs 15 years
Tristone 5 years
Staron 10 years (commercial) 15 years (residential)
Avonite 10 years
Krion 5 years
Minerva 5 years
Mistral 5 years
Kerrock 10 years
Kitchen and furniture 2 years

We keep order records (quotes and invoices) for 6 years from the issue date in line with requirements laid out by HM Revenue and Customs (HMRC).

For analytics and quote request forms we keep this indefinitely, this is so we can analyse the success of our business. When reporting we will not use any personal identifying information it will be used to give an overview of how improvements to our website are working and how our Pay per click advertising and Search engine optimisation strategies are working.

How we protect your data

We have an SSL certificate on our website to protect and encrypt your data. Our computers and emails are password protected, our quotation software is password protected. If you choose to make a payment by card, our payment processer (Worldpay) ensures that we can not store any of your card numbers. We also do not record any telephone calls, ensuring that there is not record of your card number held anywhere.
